The following settings are only available for users for whom the permission Can manage announcements in the web portal is activated under Users/telephones and for administrators.
SUISA copyright
Music used as on-hold music is also subject to copyright. The switchboard uses copyright-free on-hold music by default. If you load on-hold music onto the switchboard yourself, you do so at your own risk. Please check with SUISA which royalties are due. The same applies if you select a radio station as the source of the on-hold music. In this case, the duty to pay royalties must also be ascertained from SUISA or Serafe..
Under Announcements/on-hold music, you can upload, record or create audio files from text for use in dial plans and/or mailboxes connected to users/telephones.
Upload announcement (max. 10 MB)
- Make sure the file is in WAV or MP3 format.
- Enter a name for the announcement under Title of Announcement. Select it so that you can identify the announcement by its title in the future.
- Click Browse to select the file you want.
- Click Submit to complete the process.
- Depending on the size of the file and your Internet connection, uploading may take a while. Please wait until the process is complete.
- A message appears that the file is being converted. The conversion may take a while. Please wait until the process is complete.
- If an error occurs, you will be informed about it. In this case, the file may be in an incompatible format or corrupt. Therefore, try another file before contacting support.
Record an announcement via telephone
In addition to uploading announcements, it is also possible to record them directly via a telephone connected to the switchboard. Proceed as follows:
- Enter a name for the announcement under Title of Announcement. Select it so that you can identify the announcement by its title in the future.
- In the Record via field, select the telephone via which you want to record the announcement.
- Click Start. After that, the phone you specified rings.
- Take the call.
- After the beep, you can record your announcement and press the "#" key to end the recording. The announcement you have just recorded will then be played back.
- Listen to the announcement until it is finished, as a voice menu will follow. This offers you the possibility, if you are satisfied with the recording, to save it, to record it again or to cancel the whole process.
- The connection is then terminated.
Create audio file from text
The text entered here will be converted into an audio file. For multilingual texts, use the following syntax:
- For German <de></de>, for French <fr></fr>, for English <en></en> and for Italian <it></it>.
- For pauses, you can enter <p>1000</p> the value is in milliseconds.
An example of IVR: <de>Für Deutsch, drücken Sie 1</de><fr>Pour le français presse 2</fr><en>For English press 3</en><it>per l'italiano, stampa 4</it>.
- Enter a name for the announcement under Title of Announcement. Select it so that you can identify the announcement by its title in the future.
- Enter text. If no language is specified, German is used.
- Click Generate.
<tags>
If you use a <tag> once, this must be applied to all the text. For example:
Welcome to XY company, we give you a break<p>8000</p> we are overloaded. This will not work, enter this as follows instead: <en>Welcome to XY company, we give you a break</en><p>8000</p><en> we are overloaded.</en>
Change an announcement
To change an announcement via the web interface, enter the exact (upper/lower case) title of the announcement you want to change under New announcement/on-hold music. Then proceed as described under Upload announcement, Record an announcement via telephone or Generate audio file from text.
You also have the option of changing an announcement via the telephone. To do this, call *200 and enter after the tone the ID that is in the list under Available audio files. You will now be guided by voice menu.
Delete announcements
To delete an announcement, click on
next to the announcement in question and confirm whether you really want to remove the entry.Listen to the available audio files
Click the
icon to listen to the audio file. To listen to an announcement in a realistic environment, i.e. as the caller hears it, we recommend calling *201 and then entering the ID.Selection of the default on-hold music
If you do not wish to use the on-hold music supplied, you have the option of selecting alternative on-hold music in the Default on-hold music box. You can either use any file that you have uploaded under Announcements/on-hold music or use the stream of an Internet radio station.
